Online Report Tracker

Electronic Data Collection and Transfer

IWS is part of South Staffordshire Plc and as such has access to an extensive I.T. Department. This has allowed IWS to develop a system that will capture data on hand held devices (PDA's) from which it is transmitted into a host database.

IWS has created an SQL database that is securely hosted at our Green Lane offices in Walsall. Information on this database is populated and updated by IWS operatives equipped with hand held PDA's which communicate via the mobile phone network.

IWS operatives complete work at site and enter test data onto the hand held PDA. Upon completion of the data entry, the report is transmitted via the mobile phone network into the host database and reports are compiled automatically.

All reports are assigned to a supervisor who initially checks through the data and ensures that any exceptions are taken to a summary report before authorisation. Once authorised the report is made live on the database and can be viewed by the client via the IWS website.

• Allowing the Client to react quickly to hazardous or costly situations
• Allows for "reporting by exception"; which means the thousands of results that are collected in the course of the site visits are automatically filtered by the system to produce exception reports detailing only the "out of spec" results that actually need attention
• This reduces the Client's management time required to respond to our of spec results
• Data can be accessed from any location where internet access is available
• This means the Client can assign management tasks across a geographically dispersed team who do not need to access hard copy data
• All remote logins are secure; entry can only be secured with the use of an I.D and Password.
• Access to site level data can be limited to those in the Client's management team with site specific responsibility
• Allows the client to sign off acceptance of each visit report and add comments to the out of spec results.
• Allowing the Client to record actions taken and demonstrate compliance
• Promotes the trend analysis of the test data.
• Key Performance Indicators can be set and monitored using the real time visit dates and test results ie. we cannot hide missed visits even if we wanted to!
• Data can be transferred and received from other systems easily
• The clients data can be safeguarded or moved to other systems reducing the risk to the client
